How SepticTrack handles personal information and service data.

SepticTrack respects the privacy of its customers, users and individuals whose information is processed through the SepticTrack platform. This Privacy Policy explains how we collect, use, store, disclose and protect personal information in connection with our services.

1. Definitions

“You”, “Your”, “Customer”, “Subscriber” or “User” means an organisation or individual that subscribes to, accesses or uses the SepticTrack Service, including authorised employees, contractors and technicians.

“Service” or “Services” means the SepticTrack software platform, websites, applications, portals and related products and services provided by us.

“SepticTrack”, “We”, “Us” or “Our” means Septic Track Pty Ltd ABN 79 617 835 364.

“Personal Information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

“Customer Data” means information entered, uploaded, generated, stored or otherwise processed through the Service by or on behalf of a Customer.

2. Information We Collect

Depending on how you interact with SepticTrack, we may collect information including:

  • Name and contact details;
  • Business or organisation name;
  • Postal, property or service address;
  • Email address and telephone number;
  • Account and login information;
  • Billing and transaction information;
  • Property and wastewater system information;
  • Service, maintenance and inspection information;
  • Service reports, notes and related records;
  • Information submitted through our websites, applications or portals;
  • Technical information such as IP addresses, browser information, device information and system logs; and
  • Other information reasonably necessary to provide and support the Service.

Some information stored within SepticTrack may be supplied to us by our Customers rather than directly by the individual concerned.

For example, wastewater service providers, technicians, property managers, councils or other authorised organisations may enter property, owner, occupier, system and servicing information into the Service.

3. How We Use Personal Information

We may use personal information and Customer Data to:

  • Provide, operate and maintain the SepticTrack Service;
  • Create and administer user accounts;
  • Manage properties, wastewater systems and servicing records;
  • Generate service reports and related documentation;
  • Communicate with Customers, users and authorised recipients;
  • Process subscriptions, payments and billing;
  • Provide technical support and customer service;
  • Maintain the security and integrity of the Service;
  • Monitor and improve the performance and functionality of the Service;
  • Investigate suspected misuse, security incidents or technical problems;
  • Comply with legal and regulatory obligations; and
  • Perform other activities reasonably necessary to provide the Service.

SepticTrack does not sell or rent personal information to third parties.

4. Customer Data

Customers are responsible for the information they enter into SepticTrack and for ensuring they have the appropriate authority or lawful basis to collect, use and provide that information to the Service.

SepticTrack processes Customer Data for the purpose of providing the Service to the relevant Customer.

Access to Customer Data is restricted according to user permissions and the functionality made available to the Customer.

Where applicable, Customers may provide access to information through SepticTrack to authorised technicians, employees, contractors, councils, local government authorities, water authorities or other parties involved in wastewater management, servicing, compliance or administration.

5. Disclosure of Personal Information

We may disclose personal information where reasonably necessary to provide the Service, including to trusted third-party service providers that assist us with:

  • Hosting and infrastructure;
  • Data storage and backup;
  • Payment processing;
  • Email and communications;
  • Software monitoring and security;
  • Technical support; and
  • Other technology services required to operate SepticTrack.

We may also disclose information where:

  • You or the relevant Customer has authorised the disclosure;
  • Disclosure is necessary to provide a requested Service;
  • We are required or authorised to do so by law;
  • Disclosure is required in response to a lawful request from a government, regulatory or law-enforcement authority; or
  • We reasonably believe disclosure is necessary to protect the security, rights or property of SepticTrack, our Customers, users or the public.

We take reasonable steps to ensure service providers handling personal information maintain appropriate privacy and security safeguards.

6. Councils, Water Authorities and Regulatory Authorities

Certain SepticTrack Services allow wastewater servicing, inspection, property or compliance information to be made available to councils, local government authorities, water authorities or other authorised regulatory bodies.

Information is only made available through these Services where the relevant Customer, contractual arrangement or applicable legal or regulatory framework permits such access.

Access may be limited according to organisation, property, geographic area, council area, user role or other permissions configured within SepticTrack.

7. Data Security

SepticTrack takes reasonable technical and organisational measures to protect personal information and Customer Data against unauthorised access, disclosure, alteration, loss, misuse or destruction.

These measures may include:

  • Encrypted communications;
  • Access controls and authentication;
  • User permission controls;
  • Server and application security;
  • System monitoring;
  • Backups;
  • Logging and auditing; and
  • Other security measures appropriate to the nature of the Service.

No internet-based service or electronic storage system can be guaranteed to be completely secure. Customers and users are responsible for protecting their account credentials and should notify SepticTrack promptly if they suspect unauthorised access to their account.

8. Account Security

Users must keep their login details secure and must not knowingly provide their account credentials to unauthorised persons.

Where multi-factor or two-factor authentication is available, SepticTrack may require or recommend its use for certain accounts or Services.

Users should notify SepticTrack as soon as possible if they believe their account, password or other authentication information has been compromised.

9. Accessing and Correcting Personal Information

We take reasonable steps to ensure personal information held by us is accurate, complete and up to date.

Customers and authorised users may be able to update certain information directly through the SepticTrack administration area.

Individuals may also contact us to request access to or correction of personal information held by SepticTrack. In some circumstances, where the information is controlled by one of our Customers, we may refer the request to that Customer.

10. Data Retention

We retain personal information and Customer Data for as long as reasonably necessary to provide the Service, satisfy contractual requirements, maintain legitimate business records and comply with legal or regulatory obligations.

Retention periods may vary depending on the type of information and the nature of the Service being provided.

Where information is deleted or an account is closed, certain information may remain within backups or archives for a limited period before being removed in accordance with our normal data-retention processes.

11. Cookies and Technical Information

Our websites and online Services may use cookies and similar technologies to maintain user sessions, authenticate users, remember preferences, improve functionality, monitor system performance and help maintain the security of the Service.

We may also collect technical information such as IP addresses, device information, browser information, access times and system activity.

12. Third-Party Services

The SepticTrack Service may integrate with or rely upon third-party services. Those third parties may have their own privacy policies and terms governing their handling of information.

Where we engage third-party providers to process information on our behalf, we take reasonable steps to select providers with appropriate security and privacy practices.

13. Overseas Processing and Storage

Some technology providers used in delivering the SepticTrack Service may process or store information outside Australia.

Where personal information is disclosed or processed overseas, we take reasonable steps appropriate to the circumstances to ensure that information is handled consistently with applicable Australian privacy requirements.

We may update this Privacy Policy from time to time to reflect changes to our Services, technology, business practices or legal obligations.

The current version will be published on our Website with the date of the latest update. We encourage Customers and users to review this Privacy Policy periodically.
